Overview

Work English is a hosted service that helps people practice English using the language they actually use at work. This policy explains what data we process, why, and the choices you have over it. Your data is scoped to your own account and is never shared with other users.

Content from your workplace

A core feature lets you import messages and documents from workplace systems such as chat tools, email and document platforms so we can build learning material from them.

You are responsible for making sure you are authorized to import and use any content you upload — including content that belongs to your employer or your colleagues.
We do not claim ownership of your company's content, and we are not responsible for whether, how, or for what purposes you import, share, or use that content.
Imported content is used only to generate your personal learning material, feedback, and practice sessions within your account. It is never published or shared with other users.
If your employer's policies restrict the use of internal communications, review them before importing anything. Consult your manager, legal team, or IT department when in doubt.

Tip: you can delete imported messages at any time from the Messages page, which removes them from your learning material.

Data you provide

When you create an account, we store your email address and a securely hashed password. If you import messages or write practice chats, we store that content in your private workspace so the app can analyze it and build your course.

You can also describe your work context — your role, company, projects, the colleagues you deal with and what you find hard in English — either through a form or a guided AI interview. All of it is optional, and fictional names are perfectly fine: what the app needs is the shape of your work and your relationships, not anyone's identity.

AI processing

Text you submit — imported messages, your work context, chat messages, rewrite requests — is sent to an AI provider to generate your learning material. This applies from your very first free credit, before any payment: trying the product still means your text is processed by an AI provider. If you configure your own API key in Settings, that is the provider you chose (for example OpenAI, or a local model on your own infrastructure); otherwise it is the provider we operate with. Data sent to third-party providers is subject to their own privacy policies and retention practices. We do not sell your data and we do not use your content to train models; we cannot control how third-party providers use the data they receive on their side.

Storage & security

Your data is stored in our database, scoped to your account and protected by authentication. We use industry-standard precautions, but no method of transmission or storage is 100% secure. You are responsible for keeping your account credentials safe.

Third-party services

We use services for authentication (including optional Google and GitHub sign-in), transactional email such as password resets, database hosting, and AI processing. Each of these processes limited data on our behalf and operates under its own privacy policy.

Payments. Subscriptions are handled by Paddle, which acts as the merchant of record — meaning Paddle, not us, is the seller for your purchase. When you subscribe, you provide your payment and billing details directly to Paddle: we never receive or store your card number. Paddle processes the personal data needed to take payment and meet its tax obligations (such as name, email, country and billing information) under its own privacy policy, and sends us back only what we need to activate your plan — a subscription identifier, its status and the plan you chose. If you never subscribe, no payment data exists at all: the free credits require no card.

Cookies & analytics

The app uses an authentication session cookie to keep you signed in. We do not use third-party advertising or analytics trackers.

Retention & your choices

You control your data:

Delete individual messages, chats, or learning items at any time in the app.
Export your flashcards to Anki or request removal of your account and data.
Deleting your account removes your workspace data from the app's database.

Children's privacy

The service is intended for adults using it at work. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we will delete it.

International data transfers

Depending on the AI provider handling your plan, data may be processed in jurisdictions outside your own, and you consent to that processing by using the service. In an EU/EEA context, review the relevant providers' compliance with applicable rules such as the GDPR before processing personal data.

Changes

We may update this policy as the software evolves. The latest version will always be published here with its effective date. Continued use of the app after changes constitutes acceptance of the updated policy.
